Senior Executive Administrator

Principal Responsibilities:
Reporting directly to the President, with responsibilities of supporting the CEO, President, and COO, the Senior Executive Administrator is responsible for the day-to-day management of the communication, coordination, schedules, meetings, and calendars as needed, as well as activities to ensure high value time utilization in support to maximize time for these Executives. This role will serve for external and internal communications/support, including briefing and updating them on upcoming meetings and ongoing obligations.
· This role will have the authority to communicate and request reports, feedback, and/or delegate specific tasks, acting on behalf of the Executives, as needed.
· Act as a conduit of communication between these Executives to support everyone working inside a central hub for sharing information.
· Responsible for the timely preparation and presentation of materials for key external and internal company meetings involving the Executives.
· Conducts research and drafts documents to develop/further executives’ work.
· Responds to email communications and assists in providing timely responses to inquiries sent to the executives.
· Works with business development, communications and other teams companywide to prepare executives for internal and external meetings, presentations, events, and ensures timely follow up of all action items.
· Organizes executives’ travel arrangements and submits expenses in a timely manner.
· Prepares briefing memos and relevant updates for executives on outstanding projects, identifies issues, develops contingencies, and suggests solutions.
· Assists with or manages special projects which may include events (internal and external), PR, dinners, client functions, holiday gifts, and overall oversight and execution of managing and assisting executives.
· Provides regular operating status reports to executives as needed, assisting them during operational reviews through follow-up on assigned performance tasks and deadlines.
· Represents professionally with clients, investors, shareholders, or vendors as required.
· Supports the executives in dealing with confidential or sensitive personnel or other organizational matters.
· Collaborates with executives to foster a success-oriented, positive, high integrity and high performing organizational culture.
· Works to support the senior leadership team and provide assistance as needed, to support coordinating meetings.
· Communicates with Board of Directors on behalf of Executives, further coordinating any requests, materials, travel, accommodations, and events to support.
In addition:
The candidate for this position will be responsible for managing the Senior Coordinator (Office Administration/Marketing Support). They will serve as the direct report for the Senior Coordinator.
