Ergon has an opening for an Executive Assistant based at its Ergon Trucking/Lampton Love office in Flowood, MS.
Ergon is a family-owned company based in the Jackson, MS area with facilities across the U.S. The Executive Administrative Assistant provides full-range administrative support to the President of Ergon Trucking & Lampton Love. A critical aspect of this role will be to maintain confidentiality with all daily activities and assignments and the ability to handle multiple tasks supporting a large size organization.

Executive Assistant Qualifications:
- Five plus years of experience in executive administrative assistant roles.
- Strong communication and organizational skills.
- A self-starter with the ability to work with minimal supervision and organize, keep up to date, and effectively manage projects assigned or maintain up to date records that are on-going.
- Experience in providing administrative assistance such as scheduling, managing calendars, and preparing documents.
- Proficiency in Microsoft Office and other office software suites.
- Detail-oriented with excellent problem-solving skills.
- A high school diploma or equivalent is required. (a college degree is preferred).
- Requires a high level of tact and integrity due to the frequency of senior-level internal and external contacts.
- Regular and predictable attendance is a requirement for this position.
Executive Assistant Responsibilities:
- Performs a wide range of administrative and general support duties of a highly responsible and confidential nature.
- Manages the President of Trucking/Lampton Love's calendar, organizing in-person and virtual meetings while actively utilizing problem-solving abilities as challenges arise.
- Coordinates regularly with other leaders' schedules across Ergon as well as cross-functional teams to aid in scheduling.
- Prepares meeting briefing documents by taking and disseminating notes and formulating post-meeting action item lists.
- Performs various clerical, administrative and general office duties including word processing, invoice coding and tracking, file and records management, and budgetary tracking. Manages funding request system (AFEs) and AFE reporting.
- Oversees office equipment and office supplies.
- Schedules travel and processes expense reports.
- Assists in the coordination and preparation of presentation material, primarily prepared in PowerPoint.
- Prepares and maintains tracking, reporting and other spreadsheets using Excel.
- Coordinates hotel and conference room reservations for various meetings and/or training.
- Composes routine and non-routine correspondence.
- Effectively handles phone calls, visitors and mail distribution.
- Works accurately and productively with competing priorities and tight deadlines.
- Performs other duties as assigned.
