Group Lead Billing & CoE oversees and manages all aspects of the billing process operations and the Center of Excellence ensuring accuracy and efficiency in invoicing and all aspects of order-to-cash. They are responsible for managing billing staff, developing and implementing billing policies and procedures, and resolving any billing-related issues. The Group Lead Billing & CoE also oversees the Center of Excellence team that studies and develops optimization changes to an organization's business processes to improve operational efficiencies, quality, service, and profitability. Oversee the in-depth analysis of existing workflows. May utilize flowcharts and process maps to define existing processes and identify areas needing improvement. Engages and organizes the tools required to collect and measure relevant data, identify key performance indicators (KPI), and produce a data-driven analysis of critical functions. Introduces new business processes to the organization and produces documentation, tools, and training to support adoption.

Essential Functions: In addition to the activities as prescribed above, specific responsibilities of this role may include:

  • Lead and direct the billing team, providing guidance, coaching, and training
  • Oversee the Center of Excellence by providing guidance and coaching when necessary
  • Monitor billing activities, ensure accurate and timely customer invoicing
  • Address and resolve complex billing issues
  • Establish a Center of Excellence for billing practices and provide guidance and support to the team and stakeholders across the organization.
  • Identify and resolve workflow issues, implement process improvements, and optimize billing operations
  • Monitor and analyze billing metrics to identify trends, address issues, and provide insights to senior management.
  • Ensure compliance with relevant billing regulations and policies along with financial regulations and industry standards relating to billing and invoicing practices.
  • Train new team members and provide ongoing support to improve skills and knowledge
  • Review billing data, identify trends, and generate reports to track performance and identify areas for improvement
  • Serve as a point of contact for questions and concerns from team members and other departments.
  • Assist Collections team with billing related questions

Responsible for ensuring area of responsibility has the talent and resources to meet short- and long-term organizational goals as well as ensuring maximum productivity and performance. Responsibilities include, but are not limited to:

  • Proactively recruit, screen, and select candidates for current and future resource requirements.
  • Effectively orient new hires to ensure a positive and productive employee engagement experience.
  • Ensure structure and hiring plans (within budget) are appropriate for performance and productivity levels required.
  • Utilize the company’s performance management program as designed to align individual performance to overall performance objectives. Meet all completion requirements at a high quality level. Provide ongoing performance feedback. Identify and take appropriate action for non-performance.
  • Ensure each employee has a yearly performance review that is reviewed with employee and the review to be sent to Human Resources each year.
  • Ensure each employee has a clear and thorough understanding of their role and responsibilities. Keep job descriptions current for each position.
  • Actively support and participate in organizational development and training programs. Meet all completion requirements at a high quality level.
  • Mentor, guide, and coach direct reports in order to expand their capabilities and performance.
  • Communicate all corporate matters in a positive and timely manner as directed by Corporate Communications or senior managements.
  • Administer all internal policies and procedures in accordance with corporate, human resources, budgetary, and finance guidelines. Ensure accuracy of staff data records.

Minimum Requirements:

Education/Experience/Certification Requirements

  • Bachelor’s degree in Business Administration, Finance or related field or equivalent
  • 7+ years Billing Manager / Team Lead experience, leading teams of staff in a complex high-volume business
  • Strong leadership, communication, and interpersonal skills
  • Familiarity with any billing software and other relevant systems
  • Advanced Excel skills (e.g. pivot tables, vlookup)
  • A thorough understanding of billing procedures

Preferred Skills/ Competencies:

  • Associate, BA/BS in Accounting is a plus, but not required
  • Demonstrated leadership and motivational skills
  • Analytical and organizational abilities
  • Solid time management and understanding of prioritization
  • High level of professionalism
  • Sound judgment, with ability to make measured risk decisions

Working Environment/Physical Demands

Working Environment:

  • General office environment: Works generally at a desk in a well-lighted, air-conditioned cubicle/office, with moderate noise levels.
  • Periods of stress may occur.

Physical Demands:

  • Activities require a significant amount of sitting at office and work desks and in front of a computer monitor.
  • Some walking and standing relative to interaction with other personnel.
